Technology is a very important aspect of life at the University of Central Missouri (UCM). UCM’s Office of Career Services has been on the forefront of the effort to bolster technology on campus by implementing Career Services Manager in 2006.
Being a medium sized school UCM utilizes the full edition of CSM and takes advantage of many modules to streamline its operations and increase its reach to students. UCM has been successful targeting this technology to its students and dramatically increased student usage of its career center software in the first year using CSM. UCM career center was able to increase its usage by 1,611 more unique student visitors in fiscal year 2007 to bring its total to 2,745 students. The career center staff was able to increase its student usage by importing its entire student database and using tools such as batch email, event RSVP, and counseling reminders to allow career center staff to more effectively reach students and drive them to utilize their online career center services.
In addition to increased student use, in its first year implementing CSM, UCM saw its job postings increase by about 10% to 5,245 unique job postings in the year 2007. CSM helps UCM schedule and manage approximately 2,000 interviews per year by 200 individual employers.
Another CSM resource that UCM widely utilizes is the reporting module. The career center is able to run reports of all CSM activity to create annual reports that both demonstrate the return on investment of the CSM system and also gives the career center hard data to show the services that they have performed over the course of the year. The value of this is that if an interested parent, professor, or dean wants to know the amount of services that the career center has been providing staff can produce this instantly using CSM’s powerful reporting capabilities.
Credentials at UCM

The CSM Credentials module manages letter of reference processing by providing an online interface for students, recommenders, and career services professionals to efficiently and effectively generate credential files. A credential file is a recommendation by a professor, teacher, or mentor that is submitted to employer or graduate programs on behalf of the student as part of the application process.
While UCM utilizes CSM for a wide variety of functions it is also one of the innovators of the credentials modules. Credentials saves the career center staff time and money by streamlining the referral process for its education students in need of referrals for teaching positions as well as students applying for graduate and law school programs. UCM is able to manage the full referral process from students requesting a referral to a completed recommendation by the recommender using either a document upload or an easy to use recommendation wizard tool.
Before utilizing the credentials module all of the over 1000 annual recommendations came in as hard copies. Students would drop off their recommendations and staff would have to process and send. This not only took up lots of space because of the need of several filing cabinets throughout the office but it consumed staff resources and increased the chance of errors handling the recommendations.
Staff and office resources also contribute to the value of the credentials module. Not only is there now more space in the office but staff members are able to process each request in about 5 minutes, which is over half the time it took with its old method; saving staff time and allowing more focus to be put on servicing students and building relationships with employers.
Students benefit from credentials as well. Students are now able to request and track recommendations in real time can even set target completion dates for their orders. Students can choose if they need to have the recommendation emailed, faxed, or mailed. Another advantage is that it can guarantee confidential recommendations because the student’s are never handling them on their own. Once the student makes the request an email is sent to the recommender where they can fill out the recommendation and once submitted the career center staff can process the order and send the recommendation.
Cost Savings
The Credentials module has been an immense benefit because, not only was the process more streamlined, but UCM is able to charge students a small fee to process the recommendations which means that the Credentials module pays for itself. It is estimated that it would cost about $10,000 to process all of the recommendations before using CSM. Using CSM’s Credentials module UCM costs are cut by 60 percent as it takes less staff and less time to process the same amount of requests.

Frequently Asked Questions
Q: Why do I have to enter a verification code when I login?
A: The verification code is a security measure that will only display after 3
incorrect login attempts. Once you login with the correct credentials it will no longer display. If it does continue to display after a successful login make sure that Cookies are enabled in your browser settings.
Q: I have a student or employer that cannot login! What should I do?
A: There are few common reasons why this may be happening and here are some things to troubleshoot:
1. Make sure that the user is going to the correct login page and that they are not trying to login as an employer through the student login page or vice versa.
2. If you have confirmed that they are going to the correct page it may be that they are trying to use the wrong username or password. Verify this and also recommend that they use the Forgot Password function on the login page.
3. Check to see if they have a password by viewing their Number of Logins in administrative info. If it says “N/A” it means that they do not have a password assigned to them. To assign either set in the Account tab or send them the Welcome Message to generate them a new password.
Q: The forgot password feature is not working for an employers or student?
A: The forgot password function is the easiest way for users to receive a new password. If they report that it is not working it is usually one of three reasons:
1. They have never been assigned a password. Check their number of logins and if it says “N/A” they have to be assigned a password from an administrator before they can login.
2. Make sure that the Forgot Password system message is enabled.
3. Have the user check their SPAM folder.
Q: How do I get my manager account password?
A: For security reasons there is not a forgot password feature available for administrators. Your password can be reset by another administrator or contact us for a new password if you are unable to login.
Q: Why isn’t my search bringing back any results?
A: Try selecting the “Clear” button and then try your search again. When performing multiple searches it is common to have previous filters set which can inadvertently limit the results.
Q: Why do I have duplicate results in my report?
A: If you are including a field that accepts multiple values you can select “Collapse Values into Single Row” to combine selections into one row.
Q: When using the student tracking system, can I hook up multiple card readers to one computer?
A: Sure. You can have multiple card readers on one computer to quickly process student attendance.
Q: What happens if I reject a OneStop posting? Is it rejected everywhere? Does the employer get a refund?
A: If you reject a OneStop posting the job will only be rejected at your school, it can still be posted at the other selected schools. After it is rejected if the number of remaining schools puts the employer in a lower price bracket we send them a refund.
Q: Does OneStop require employers to bypass our school's CSM system?
A: It does not. OneStop actually features a Springboard so your approved employer contacts may jump into your system a click, and they appreciate not having to remember passwords. Furthermore, from the OneStop interface, employer contacts may access your school's customized forms, which feature your logo, just like they would if they were logged in directly.
